Description

Duties and Responsibilities: •Oversee local and offshore client and supplier orders and service contracts, make sure order is booked and delivered within set deadline •Follow up on payments and oversee related agreements •Manage service contracts, verify validity and expiry dates •Assist in bids preparations, check requirements and compliance issues with technical department and potential suppliers •Prepare purchase requests and purchase orders, book supplier orders, screen suppliers, negotiate prices and terms, validate supplier invoices and packing lists, verify costing sheets, and follow up order delivery. •Manage RMA cases for faulty parts, verify and book spare parts orders •Constant interaction and follow up with Sales, Technical, and Accounting departments with regards to orders requirements •Reporting officer: prepare and analyze sales and costs reports to management •Actively working on an electronic web-based system for client and supplier orders management •Manage, monitor, and generate reports of service work orders •Making sure order processing cycle is done according to company policy •Check and verify all received internal and external request and documents before being processed •Previous experience in HR and Administrative department: employee attendance, leave requests, personnel files, employee contracts, payroll and bonus preparation, trainings and expenses. •Order processing: - Handling logging, data management, reporting systems and work cycle management throughout all departments -Facilitate work flow by creating forms and assisting in writing company procedures abiding by ISO requirements -Identifying discrepancies and mistakes in internal requests, client quotations and orders and assist colleagues to take preventive actions by abiding by set procedures •Reporting: -Managing data retrieval and insights on orders -Creating various kinds of reports and statistics. Education and Experience: Any level of experience Formal Business or Engineering education and background.
